1. BOOKING CONFIRMATION
• Booking will be confirmed only after advance payment is received.
• Remaining balance must be paid before trip departure unless otherwise agreed.
• All bookings are subject to availability.
2. TRAVEL DOCUMENTS
• Participants must carry valid passport, government ID, permits, and required travel documents.
• Passport must have minimum 6 months validity from travel date.
• Any issue arising due to invalid or missing documents will be the participant’s responsibility.
3. MEDICAL & FITNESS REQUIREMENT
• High-altitude trekking involves physical exertion and weather-related risks.
• Participants must ensure they are medically fit for trekking.
• Travel & medical insurance is mandatory.
4. ITINERARY CHANGES
• Itinerary may change due to weather conditions, road blockage, landslides, flight delays, political situations, natural disasters, or operational reasons.
• Trek leader and organizer reserve the right to modify itinerary for safety reasons.
5. ACCOMMODATION
• Teahouse / lodge accommodation during trekking days will be on twin-sharing basis.
• Hotel accommodation in Kathmandu and Pokhara will be provided as per itinerary.
6. TRANSPORTATION
Included transportation:
• Airport pickup & drop in Kathmandu
• Tourist Bus: Kathmandu → Pokhara
• Tourist Bus: Pokhara → Kathmandu
• Jeep Transfer: Pokhara → Ghandruk

7. GUIDE & PORTER
• Licensed trekking guide and porter services are included.
• Participants are expected to respect guides, porters, and local communities.
• Organizer reserves the right to remove any participant for misconduct or unsafe behavior.
8. SAFETY
• Basic first-aid support will be carried by the guide.
• Participants must follow guide instructions during the trek.
• Trekking in mountain regions carries inherent risks including altitude sickness, weather risks, and terrain hazards.
9. PERSONAL RESPONSIBILITY
• Participants are responsible for personal belongings, trekking gear, gadgets, cash, and luggage.
• Organizer will not be liable for theft, loss, or damage of personal items.
10. EMERGENCY EVACUATION
• Helicopter rescue, medical evacuation, hospitalization, emergency transportation, or rescue expenses must be borne by the participant or their insurance provider.
11. FORCE MAJEURE
• Organizer shall not be held responsible for delays, cancellations, losses, or itinerary changes caused by:
- Weather conditions
- Flight cancellations
- Landslides
- Government restrictions
- Political unrest
- Natural disasters
- Pandemic situations
- Any unforeseen circumstances beyond control
12. UNUSED SERVICES
• No refund shall be provided for unused services, voluntary withdrawal, early exit from trek, missed transportation, or missed meals/accommodation.
13. PHOTOGRAPHY & MEDIA
• Organizer may use photographs/videos captured during the trek for promotional and marketing purposes unless participant informs otherwise in writing.
14. ACCEPTANCE OF TERMS
• By confirming the booking, the participant acknowledges and agrees to all trek terms, conditions, cancellation, and refund policies.

REFUND & CANCELLATION POLICY
━━━━━━━━━━━━━━━━━━
1. CANCELLATION BY PARTICIPANT
• Cancellation made 30 days or more before departure:
80% refund of booking amount.
• Cancellation made between 15–29 days before departure:
50% refund of booking amount.
• Cancellation made between 7–14 days before departure:
25% refund of booking amount.
• Cancellation made within 7 days of departure or no-show:
No refund applicable.
2. NON-REFUNDABLE CHARGES
The following are non-refundable once booked or issued:
• Permit fees
• Transportation booking charges
• Hotel reservation charges
• Visa fees
• Insurance fees
• Flight cancellation charges
• Third-party processing fees
3. CANCELLATION BY ORGANIZER
• If the trek is cancelled by the organizer due to weather, natural disaster, political unrest, government restrictions, or safety concerns, participants will be offered:
- Alternative departure date, OR
- Trek credit for future use.
• Refunds in such situations will be processed after deducting non-recoverable operational expenses already paid to third parties.
4. WEATHER & OPERATIONAL DELAYS
• Mountain expeditions are highly dependent on weather and local conditions.
• Delays, route changes, transportation disruption, or itinerary modification caused by weather, landslides, road blockage, or flight cancellation are beyond organizer control.
• No compensation shall be applicable for such delays.
5. REFUND PROCESSING TIME
• Approved refunds will be processed within 14–30 working days depending on banking and payment gateway procedures.
6. BOOKING TRANSFER
• Booking transfer to another participant may be allowed subject to approval and operational feasibility.
